DEPOSIT/CANCELLATION POLICY:

We accept all major credit cards to guarantee and pay for your Rolling Video Games Charlotte reservation. We require a 50% deposit of the cost of your event. Automatic cancelation if event is not paid in full 24 hours before the event start time. If the event is canceled or rescheduled within 7 days prior to your reservation, Rolling Video Games Charlotte keeps the deposit.

Location/Setup:

We will arrive 30 mins prior to your event for setup. The truck and trailer needs 60 feet of space to park and room to maneuver. We do NOT park in driveways unless previously approved.

Single Family Homes- The trailer door and awning opens on the passenger side of the vehicle. We will park/setup at the edge of your drive way along the road. If your home does not allow street parking please contact us to review setup options.

Town home/Apartments- Party will need to be held near the clubhouse or community park where there is ample space to park trailer. We cannot park in the public parking spaces.

TRAVEL SURCHARGE:

Rolling Video Games Charlotte will charge a travel surcharge of $4 per mile when your event is outside the 25-mile radius of 28202. We will travel up to 50 miles from 28202.

FOOD/DRINK:

Rolling Video Games Charlotte does not allow any food or drinks into the video game trailer. Please have your guests consume them outside of the trailer before entering. Having a small table for drinks and food to be placed outside of the trailer is welcomed.

INTERNET AT EVENTS:

Included internet at your party or event allows online gaming. Cellular service is subject to service availability in your area. If service is not available, our backup option is to use a 200ft Ethernet cord that will need to be plugged into your home router. 

BAD WEATHER:

Rolling Video Games Charlotte's trailer is designed for all types of weather conditions. The trailer is insulated and climate controlled with heat and air conditioning. There may be occasions when the weather does not want to cooperate with your scheduled party. In the event of severe weather (lightning, high winds, flooding, and/or extremely heavy rains, snow, or ice) we may reschedule/cancel your service to guarantee the safety of you, your guests, our staff, and our equipment. If we reschedule/cancel due to severe weather, you will have a credit in the amount of your deposit to use until December 31, 2024.

SUPERVISED CHILDREN:

Rolling Video Games Charlotte does require a parent or responsible adult over the age of 18 to be available at the event location. Children under the age of 6 require a parent or guardian to be present inside the mobile video game trailer for supervision.

DAMAGE/INJURY:

Rolling Video Games Charlotte or any of its employees will not be responsible for any damage to property resulting from a request by the client to position the trailer in a specific location. This includes both above-ground and below-ground property/equipment damage. Additionally, Rolling Video Games Charlotte reserves the right to charge the client for damages to the trailer or equipment resulting from careless or willful damage by the client’s guests. Rolling Video Games Charlotte and its employees assume no responsibility for any injuries sustained on the client’s property or their designated location. All liability for damages or injuries is the sole responsibility of the customer and/or host.

PICTURES:

While your party is in effect the Game Coach may be taking pictures of the party from inside the trailer. You will then be able to view these pictures on Rolling Video Games Charlotte's Facebook page and copy them to your files. If you do not want our Game Coach taking these pictures or posting them please notify us via email prior to the party. We do not always take photos, however, if you do we would love for you to tag us when you post them on social media sites. 

TIPS:

The Game Coach is there to make sure that your group is making the most of our high-tech fun. Tipping for good service is a great idea, but not required. A review on Google, Facebook, Yelp, or any other site is always another great way to let us know that you enjoyed your event!

TRUCK/TRAILER:

When the trailer pulls up, we will try to park in the most level and flat area or logical spot to accommodate your party. Sometimes, we park on your neighborhood street, so you might want to let your neighbors know (in case they may object) or let us know if you have a preferred spot for us. We might also have to block a driveway. **Please keep in mind that our Game Coach will not park anywhere that may cause danger to persons, property, or equipment. Our truck and trailer combination is very long and we will need a minimum of 60 feet of space to park. Additionally, our Game Coach will never disconnect the truck from the trailer at a party/event without prior approval nor park off of a hardened surface. We DO NOT park in driveways without prior discussion.

ALCOHOL/DRUGS:

You may serve alcohol at a Rolling Video Games Charlotte event or party to adults over 21 years of age. However, we do not allow any food or drink inside our mobile game trailer. We reserve the right to refuse, cancel or cut short any party or booking when alcohol/drugs are being served. The party will be terminated without a refund if the adult in charge is drinking alcohol. Drugs of any sort will not be tolerated in or around the Rolling Video Games Charlotte equipment. Any observed use of illegal narcotics or legal narcotics used illegally will result in the termination of the party immediately without a refund. Furthermore, there is no smoking allowed during a Rolling Video Games Charlotte event due to the nature of our business and electronics.​ Please be respectful of children at our events no smoking near them, drinking, or drugs.

PRIVACY POLICY:

Rolling Video Games Charlotte is committed to protecting your privacy. We use the information we collect on the site to make bookings with Rolling Video Games Charlotte as simple as possible and to enhance your overall experience. We do not sell, trade, or rent your personal information to others.
